Job Description

As a Senior Administrative Assistant, you will work with Carbon Health’s leaders to support their day-to-day administrative and operational needs, while also contributing to projects that help drive the company’s strategic priorities. You will also be a key contributor to the administrative team collectively working together on company initiatives. You will be tenacious, resourceful, a problem solver, and excited to make a meaningful impact. You will both embody the culture of Carbon Health and act as an extension of the senior leadership team.

This role is REMOTE friendly and can be located anywhere in the U.S.!

Job Responsibilities

  • Partner with administrative team and senior leaders on projects, events, logistics, travel arrangements, and process improvements
  • Provide proactive calendar support to senior leaders making recommendations regarding their time management, prioritization, delegation, and organization
  • Attend meetings, prepare agendas, take notes, and offer knowledgeable resources, while ensuring executive preparation and effectiveness
  • Establish new and improve upon existing administrative systems and processes
  • Create and maintain efficient organizational communications including intranet, org charts, templates, reports, presentations, and processes
  • Track and drive the completion of key deliverables and follow-up on outstanding items. Successfully complete critical aspects of deliverables with a hands-on approach.
  • Process expense reports on a monthly basis and vendor invoices

Requirements / Qualifications

  • 5+ years of administrative assistant experience with 3+ years of senior administrative experience with a fast-paced, high growth start-up to mid-size tech organization
  • Proficient using Mac/Apple-based operating systems and Google Documents to create work charts, letters, and spreadsheets
  • Skilled at being organized, with superb attention to detail and a strong ability to execute
  • Excellent time management and able to quickly shift tasks and priorities as needed
  • Demonstrated experience to handle sensitive information and situations with care and confidence
  • Ability to work Pacific time zone work hours
